RINA is currently recruiting for a CEO Executive Assistant to join its office in Genoa, Italy within the Consulting Planning, Monitoring & Business Support Division.
Mission
The Executive Assistant is essential in providing high-level administrative and secretarial support, ensuring the smooth operation of executive functions and contributing to the division’s overall effectiveness and success.
Key Accountabilities
- Email and Authorization Management: Handle emails, including authorizations, responses, and archiving in designated folders.
- Timesheet and Expense Reimbursement: Manage and submit timesheets, and expense reimbursements, ensuring accuracy and compliance with company policies.
- Travel Management: Organize and coordinate travel arrangements for the CEO and accompanying colleagues, including the handling of visas and travel documentation when necessary.
- Calendar Management: Efficiently manage the CEO's agenda, ensuring all appointments, meetings, and deadlines are scheduled and communicated appropriately.
- Event and Meeting Coordination: Collaborate with colleagues to coordinate participation in events and arrange necessary services such as catering for meetings.
- Procurement Requests: Handle the management and processing of purchase requests within the system, ensuring all procurement activities align with company requirements.
Education
High School Diploma/GED in Business Administration Finance Management
Qualifications
- Previous experience as an executive assistant or in a similar role.
- Excellent organizational and time management skills.
- Attention to detail and precision.
- Strong interpersonal and communication skills.
- Fluency in Italian and a good level of English are required.
