Corporate Front Office - Customer Service Assistant:
ABOUT THE JOB

A day in the life

As a Corporate Front Office & Customer Service Assistant, your primary mission will be to ensure that all visitors to the Patrizia Pepe Corporate Offices enjoy a “5 Star experience”. You will support the General Services team with a variety of tasks, blended with e-commerce customer service and administrative duties.

This role is perfect for someone passionate about delivering high-end service, naturally happy to ensure that all our guests are greeted with smiles and warmth but also looking long term.

Areas of Knowledge and Expertise that matter most for this role:

Be the first point of contact for Employees and Visitors attending the Corporate Office.

Providing a reception service for visitors and staff to the office ensuring visitor registration protocols are followed.

Responding to, and appropriately handling, phone and in-person inquiries, as well as deliveries.

Maintaining immaculate presentation of the front-of-house areas.

Maintaining access passes and registering for visitors and contractors, including the regular auditing of the access

Acting as the primary point of contact for office and facilities activities (such as couriers, cleaners, and building management liaison)

Coordination of the office's physical mail including post office collection, scanning, and distribution of incoming mail in accordance with procedures. Arranging couriers including associated record keeping for cost center allocation and tracking.

Responding and handling any Top Management team reservations inquiries for business trips, including hotel, flight, or train date change, schedule change, name change, refunds, cancellation, and airline credit.

Coordinating the procurement of office equipment, stationery, or consumables when required.

Have discretion and confidentiality in all aspects of services provided.

ABOUT YOU

What are we looking for?
Fluency in Italian (written & spoken) is essential.
Fluency in English (written & spoken) is essential.
Previous experience (2-5 years) in a similar role is essential preferably within the Fashion or hospitality industry.
Able to provide high-quality administrative support with strong attention to detail.
Confident in communicating effectively with internal and external clients to provide responsive, accurate and relevant information and services.
Good initiative when responding to challenges in a fast-paced and changing environment.
Effective problem-solving ability.
Able to exercise tact, diplomacy, and discretion when required.
Prioritises and uses time effectively.
